This is especially true when it comes to your business, no matter how big or small it might be, as it could come under attacks of both the physical and virtual kind. Thanks to the power of cloud technology, you no longer have to store your information locally. Not only does cloud technology offer better scalability, protection, and storage space, but it also means that if you happen to lose your files, they can be backed up in just a few clicks. This means that if a hack does occur, it doesn’t have to be a complete disaster and it can be dealt with easily. Randomly Generated Alphanumeric Passwords

One of the worst ways to protect your sensitive information in the workplace is by using generic passwords that basically anyone can guess. Hackers simply love to try combinations and see if they can get into people’s personal accounts—like the man who easily guessed the password to Donald Trump’s Twitter account. A far better idea is to create randomly generated passwords that make use of both numbers and letters, as they are virtually unguessable. For an extra level of security, make sure to change your passwords every couple of weeks.

 

Private Wi-Fi Networks

If your office uses an open Wi-Fi network, you are basically giving hackers an open invitation to access your data. Instead you should definitely be aiming to have a private network that requires password use to access it. While this can be rather burdensome for people who into your office temporarily and want to use the Wi-Fi, if you explain to them that the reason for this is that you want to avoid being hacked, they will understand. Also make sure to change the password to the Wi-Fi regularly for extra security.

 

Educate Your Staff

Sometimes the biggest point of weakness in a modern office can be the workers themselves. If they are lax in the way that they operate, they could make your entire system vulnerable. You should make sure that they are completely aware of all the security threats that can exist in a workplace and encourage them to do the best that they can to eliminate these threats. Make sure to run a dedicated security day by bringing in an external consultant who can give them the low-down on all of the best practices.

 

Install Anti-Virus Software

Technology can be your friend when it comes to preventing hacks such as the recent one against Microsoft. One of the smartest options available to you is to install anti-virus software, which can help to mitigate against any bugs or vulnerabilities that could enter the system. While this may cost a fair bit of money to install across the whole system, this is much cheaper than trying to fix a broken system or paying off an expensive ransomware attack.

 

Use Firewalls

Vulnerabilities are likely to occur no matter what you can do. That’s why one of the best ideas around is to install a firewall that can help segment the different parts of your business. Simply put, this means that if a hacker does get into one part of the system, as in the recent Russia-linked hacks, this doesn’t mean that they have access to the entire company, thus limiting the damage they are able to do.

 

Employ VPN Technology

Just as important as a firewall is making sure that when people log in, whether they are in the office or working remotely, like so many at the moment, that they do so by using a virtual private network (VPN). In layman’s terms, this is a system that allows you to use a different IP address than your own. Not only is this just helpful in general when trying to access content from other countries, but it means that your IP address is hidden, making it harder for hackers to latch onto it.

 

Shred Sensitive Information

If you haven’t made the digital leap, or you have ultra-secure information that you simply don’t want online (i.e. you do keep paper records in your office), it is very important that you dispose of them correctly. If people are very keen on taking your information, they will have no qualms about going through your garbage to find it. Instead, it’s worth investing in some extremely good shredding technology that reduces all printed information into tiny, unreadable parts.

Install CCTV

If you work in a physical office with lots of people coming and going, it is highly essential that you can keep tabs on when everybody accesses the office and if there are people coming in who are not supposed to. One way to make sure that the office is as safe as possible is by installing CCTV technology, which can then be monitored and checked for any issues. Ideally, this should be complemented with physical security guards and an alarm system to make sure the building is as safe as it can be.

 

Set Up Access Control

If you are still relying on traditional keys for people to come in and out of the office, then you are basically waiting for someone to break in or steal your keys. A much smarter system is one that is based on access control, which not only offers a higher level of security, but also allows you to see whoever is coming in or out.
